This policy explains what personal information we collect about you when you enquire about, join, or take part in Hellraisers Over-50s Football sessions, how we use it, and your rights. Please read it alongside any consent you give when you fill in one of our enquiry forms.
Who we are
Hellraisers Over-50s Football (“we”, “us”, “our”) organises football sessions for adults. We are the data controller for the personal information we hold about you. What information we collect
We collect and process the following personal data when you enquire about or take part in our sessions:
- Your name
- Your contact details — phone number and, where provided, email address and home address or town
- Your age or age band — because our sessions are age-related (adults, typically 48 and over)
- The venue(s) you attend or are interested in
- Injury or availability information you choose to share with us — for example, when you ask to pause your membership because of an injury. We use this only to manage your membership and participation
- Your membership and payment status (payments themselves are handled securely by our payment provider, Stripe — we do not store your card details)
- Records of your attendance and bookings, managed through the Spond app
- Messages you send us and our correspondence with you, including via WhatsApp, SMS, phone or email
- Information about the device and browser you use to access our website
How we collect it
We collect information directly from you when you complete an enquiry or lead form (including forms served through Facebook advertising), register on the Spond app, message us, or speak to us at a session. When you submit an enquiry form, we tell you at the point of submission that you agree to be contacted by us about our sessions — this consent is the basis on which we then message you.
How we use your information and our lawful basis
We use your personal data to:
- Respond to your enquiry and contact you about trying and joining our sessions (basis: your consent, given when you submit an enquiry form)
- Manage your membership, bookings, attendance, pauses and cancellations (basis: performance of our contract with you)
- Take and manage your membership payments through Stripe (basis: performance of our contract)
- Keep you informed about your venue, sessions, events and the community, including via WhatsApp groups (basis: our legitimate interest in running the sessions you have joined, and/or your consent)
- Keep people safe and meet our insurance and safeguarding obligations — for example ensuring everyone on the pitch is registered (basis: legitimate interest and legal obligation)
- Improve our sessions, website and services (basis: legitimate interest)
- Meet our legal, accounting and regulatory requirements (basis: legal obligation)
How we contact you for marketing
If you have enquired about our sessions, we may contact you by WhatsApp, SMS, phone or email about trying and joining, and about sessions, events and offers relevant to you. You can tell us to stop at any time — reply STOP to any WhatsApp or SMS message, click unsubscribe on any email, or email admin@over50sfootball.com. We will stop contacting you for these purposes as soon as you ask, and we keep a record of opt-outs so we do not contact you again.
Who we share your information with
We do not sell your personal data, and we do not share it with third parties for their own marketing. We share it only with organisations that help us run the sessions, and only so far as they need it:
- Spond — our session booking, attendance and communication platform
- Stripe — our payment processor, which handles membership payments securely
- WhatsApp / Meta — where we communicate with you or advertise to reach you
- Our professional advisors — such as our accountants and legal advisors, where necessary
- Franchisees who run the specific venue you attend — who receive only the limited information needed to run your session safely
Some of these providers may process data outside the UK or European Economic Area. Where they do, we rely on their being covered by UK ‘adequacy’ rules or appropriate safeguards such as standard contractual clauses.
How long we keep your information
We keep your personal data only as long as we need it:
- Enquiries that do not become members: deleted or anonymised within 12 months of your last contact with us
- Members: for the duration of your membership and for up to six years afterwards, to meet accounting and legal requirements
- Opt-out records: kept indefinitely, but limited to what is needed to make sure we do not contact you again
Your rights
You have the right to ask us for a copy of the personal data we hold about you, to correct anything inaccurate, to ask us to delete it, to object to or restrict how we use it, and to withdraw consent at any time. To exercise any of these rights, email admin@over50sfootball.com. You also have the right to complain to the ICO (ico.org.uk) if you are unhappy with how we have handled your data, though we would ask you to contact us first so we can put things right.
